Please read the following booking terms and conditions carefully, as they set out the terms and conditions of the contract between you and East Cape Tours and Safari Limited. The following terms of use govern the use of the websites. Read these terms and conditions carefully before you accept these Terms by: (a) placing an order and/or an enquiry through the use of any of our contact forms on our Websites, or (b) otherwise using the Websites.
If you do not agree with all of these terms and conditions, do not make use of the East Cape Tours and Safari Limited. websites.
BOOKINGS
Bookings, except for late bookings, are confirmed on the condition that a non-refundable deposit, of a minimum of 35% of the total package price, is paid to East Cape Tours and Safari Limited. within 24 hours of confirmation of your bookings. You will be advised at the time of booking what payment is required for your particular chosen travel arrangements. *Please note that many service providers require 100% pre-payment within 24 hour of confirmation. The balance of the cost of your travel arrangements must be paid no less than 9 weeks prior to departure. If your booking is made within 9 weeks of departure, the total cost of your travel arrangements must be paid at the time of booking.
Please note: FAILURE TO PAY ON TIME WILL RESULT IN THE AUTOMATIC CANCELLATION OF YOUR BOOKING.
AIR/TRAIN TICKETS
The air/train fare and taxes quoted are current and are subject to change without prior warning should the airline or train travel provider impose an increase in rates for any reason. Should the fare quoted not be available at the time of booking, the next applicable fare will be booked and amended costs advised accordingly. Please note that fares may increase between time of booking, time of payment and the ticket being issued. East Cape Tours and Safari Limited, cannot be held responsible should airlines or railway operators discontinue flights or train journeys on certain routings or change scheduled timetables resulting in missed connections. Should an amendment in routing or itinerary be necessary, any additional costs incurred will not be borne by Airfares and train fares are subject to the prices and conditions quoted by the particular airlines and/or railways and cannot be guaranteed by The East Cape Tours and Safari Limited The onus is on the agent and the passenger to check that there have been no changes in these prices before making final payment thereof.
METHODS OF PAYMENTS
Credit Cards (Master Card and Visa): In accordance with International Airline Travel Association (IATA) bulletin # A1/00 and our bank, we need a signed and validated Standard Credit Card Charge Form. The agent acknowledges that he/she has seen the card or received a copy of the card and that the signature on the card is the same as that on the Credit Card Charge Form. If the card is a foreign credit card then you may be requested to supply various other details. Cheques: Bank issued cheques only! Please note we require 7 working days to clear all cheques before documents can be issued and/or travel arrangement can be confirmed. Cash or EFT Transfers: We accept EFT transfers, or cash deposited into one of our bank accounts, subject to condition that the EFT transmission report or the cash deposit slip is provided to ourselves and such payment has been confirmed as received by ourselves. All payments must be made in full and free of any bank charges.
INSURANCE
We consider adequate travel insurance to be essential. All premiums must be paid at the time of booking, as cover will not be effective until then. East Cape Tours and Safari Limited will not be liable if anyone should fail to take adequate insurance cover.
FLIGHT/TRAIN TRAVEL TIMES
Flight/Train travel timings and other timings are provided by airlines and/or railways and are subject to Air Traffic Control restrictions. All means of transportation are subject to weather conditions, the need for constant maintenance, and the ability of passengers to check-in on time. There is no guarantee that flights, ferries, ships, trains or coaches will depart at the times stated on any itinerary, voucher or tickets which you receive. All timings are estimates only, and we do not accept any liability for any delay, however arising, or for any schedule alterations.
FLIGHT/TRAIN TRAVEL RECONFIRMATION
It is your responsibility to ensure that you reconfirm the departure date and times of all your flight arrangements and train journeys at least 72 hours prior to departure. This is particularly important in respect of subsequent train journeys in South Africa and flights leaving South Africa. East Cape Tours and Safari Limited hereby specifically excludes any liability and cannot be held responsible for any direct, indirect, special, incidental or consequential damages that may arise for any delay and/or travel service provider failure i.e. accommodation needed, car hire, shuttle service and/or any other loss as a result of your failure to reconfirm flight, train journeys and/or connecting flight details.
DOCUMENTS
Documents: (vouchers etc.) are only prepared on receipt of full payment of the package price and will be ready 72 working hours after payment has been received and be sent by email. Should you require hard copies of your documents and air tickets to be forwarded to either yourself or the departure airport and or train station, this may be arranged. However, the courier costs in respect thereof will be for your own account.
PASSPORTS, VISAS AND HEALTH
It is entirely the clients duty to ensure that all passports and visas are current, valid, obtained on time and will be valid for 6 months after return to home country; and that any vaccinations, inoculations, prophylactic (e.g for malaria) and the like have been obtained where required.
If we change your holiday before your departure
We hope and expect to be able to provide you with all of the services we have confirmed to you at the time of booking. We plan arrangements a long time in advance of your holiday using independent suppliers such as hotels etc. over whom we have no control. On some occasions, changes do have to be made, and we reserve the right to make these.
CANCELLATION TERMS
Our standard cancellation policy: Cancellation prior to 9 weeks of travel – full 35 % deposit is forfeited; cancellation 9 – 6 weeks prior to travel – 50% of total cost is forfeited. Cancellation less than 6 weeks prior to travel – 100% of total cost is forfeited.
